When the travel has been booked:

When you have booked the tour, we will forward a confirmation on the requested.

  • Confirmation deposit, 10 % of the total fee is payable by banktransfer (Switch) in favour of Cape Options in Cape Town.

  • Remaining part of the deposit, 30% of the total fee is payable 2 month before departure.

  • The balance to be paid no later than at the first information meeting on arrival to South Africa by a bank cheque or travellers cheque made out to Cape Options.

Essential to bring with you on the travel:

  • Diabetes ID-card.

  • Insulin.

  • Glucose.

  • Bread, fruit etc. in case of delays during the journey.

  • Mobile phone.

  • Insurance documentation.

  • Diabetes dairy.

  • Bloodsugar measurement tool.

  • Documentation from GP for your diabetes and your possession of necessary tools and Pharmaceutical Pass if required, for presentation at check-in and customs in South Africa.

  • All Passport requirements must be met and be valid for at least 6 months after planned exit from South Africa.

  • Visa if required.

 
In addition to above an envelope for the usage of the nurse, marked with name, and containing following informations:
  • E-mail adresses and phone numbers at persons, who particiate in diabetes-team (GP and diabetic-nurse).

  • Names and phone numbers for relatives.

  • Copy of insurance documentation.

  • Copy of flight tickets, if we are to arrange re-confirmation of the homebound travel.

 

Important informations:

On arrival the following will be distributed to our guests..

  • 24 hr Telephone number of the nurse.

  • Accommodation address.

  • Map of Cape Town.

  • Addresses to private hospitals.

  • Bus lines and routes.

 

Terms and Conditions

TOUR PRICE QUOTED INCLUDES
* Accommodation
As specified on the itinerary - or similar - based on 2 people sharing a twin bed room. The utilisation of hotels mentioned or implied in the tours is subject to accommodation being available. During the height of the local holiday seasons it may not always be possible to accommodate passengers at elected hotels. In this event Cape Options reserves the right to provide a suitable substitute at no extra cost to the customer.
* Single Accommodation
Provided for at an additional cost. Single rooms are provided only if available and strictly on a first-come-first-serve basis
* Meals
As specified in the tour itinerary.
* Transportation
In air-conditioned tour coaches, smaller vehicles or minibuses of equal standard appropriate to the requirements of the tour. Seats are allocated strictly in order of receipt of booking. All seats enjoy excellent visibility.
* The Services
Of an experienced courier and driver (on coaches only).
* Portage
Covers the handling of one standard sized suitcase and one-piece hand luggage.

TOUR PRICE EXCLUDES
* Tips and Gratuities
For the courier and/or driver, for hotel or restaurant employees and waiters, or anyone performing a personal or individual service not specified in the itinerary. These are not included in the tour cost, but are left to the discretion of individual passengers.
* Personal Items
Such as alcoholic or non-alcoholic beverages, cigarettes, telephone calls, laundry, room service and other extras at hotels, lodges and resorts.
* Rail and Air Fares
Are EXCLUDED unless specifically stated as included in a particular itinerary or package.
* Visas, Health and Immigration Requirements
Customers are asked to ensure that all these requirements are attended to as Cape Options accepts no responsibility if such documentation is not in order. Customers on tours passing through Swaziland, Namibia, Botswana and Zimbabwe should consult their travel agents for details of entry and re-entry visas and health requirements.

ITINERARY VARIATIONS:

While every effort is made to keep to all published itineraries, we reserve the right to make changes for your convenience. In some cases conditions on the roads and weather conditions can necessitate an alteration in the tour itinerary and this does not constitute any reason for refund. No refund for services not utilised will be considered.

In the event that the confirmed hotel accommodation, excursions, and/or services included in the tour as quoted are unavailable for any reason whatsoever, Cape Options undertakes to provide to provide a suitable substitute at no extra cost to the customer.

RESERVATION PAYMENT AND LATE BOOKINGS:

All bookings made are confirmed on the condition that a non-refundable deposit is paid to Cape Options within 14 days of the booking being made. The outstanding balance must be paid in full by the date stipulated on the invoice.

In the event of any reservations made less than 30 days prior to the date of departure, Cape Options shall be entitled to levy a late booking fee.

Cape Options reserves the right to cancel any reservations in respect of which any payment is not made within the due time.

Cape Options guarantee the price of land arrangements once full payment is received except where any subsequent increase is beyond the control of Cape Options.

CANCELLATION:

In the event of a cancellation Cape Options shall be entitled to retain the full deposit.

In accordance with the policy adopted by Tour Operators all over the world, Cape Options reserves the right to cancel any tour before departure, in which event the entire payment will be refunded without any further obligation on the part of the company.

The following cancellation fees may be imposed unless otherwise stipulated:

  • From time of booking until 30 days prior to departure - deposit is forfeited
  • 14 days prior to the first day of the tour 50% of the tour as quoted will be payable.

INSURANCE:

Customers are responsible for their own insurance, and Cape Options will not be liable if anyone should fail to take adequate insurance cover. All activities undertaken by customers are of their own choice and at their own risk.

PASSPORTS, VISAS, AND VACCINATIONS:

The responsibility to obtain proper, current and valid passports, visas, vaccinations, inoculations and the like, where required, is that of the customer alone and Cape Options shall not be responsible or liable for any consequence of any nature arising from the customer failing to ensure that he has complied with all such requirements.

Please notice, that South African law requires all visitors to South Africa to have a minimum of two blank pages in their passport to enable the entry visa to be issued. If there is insufficient space in the passport entry will be denied and the person is likely to be detained pending return to their country of origin.

RESPONSIBILITY:

We make every effort to ensure that all arrangements and services connected with the tours will be carried out as specified in the most efficient and effective way possible. However, we do not have direct control over the provision of services and, whilst they our suppliers are in all cases selected with the utmost care, we do not accept liability for error and omissions of such suppliers. We also do not accept any liability for changes, omissions or delays before or during the course of any published tour occasioned by technical difficulties, weather conditions, strikes or any other unforeseen occurrence.

All tours are booked and all tour arrangements are made on the express condition that Cape Options and their affiliates shall not be responsible for, and shall be exempt from, all liability in respect of any loss, damage, accident, delay or inconvenience to any person, or his or her luggage, or other property, wherever, whenever, and however the same may occur, beyond what is enforced by South African law in terms of compulsory liability insurance.

Cape Options and their affiliates shall not be liable for any consequential loss or damage whatsoever.

Cape Options and their affiliates have the authority to claim the cost of repair for any damages caused by the client to the property.

All booking and travelling to and from South Africa is the sole responsibility of the customers.

It is the responsibility of the customers to arrange adequate transportation to/from/within South Africa in order to comply with the stated and agreed commencing of any tour.

It shall be the responsibility of the customers to secure reconfirmation of all flights and check the timing of the departure with the airline. Cape Option will, however, offer this service.

JURISDICTION

Cape Options and their affiliates are governed by the laws of South Africa and falls within the jurisdiction of the Western Cape in South Africa.
